Custom fields and tags
Set up the tags and custom fields your organisation keeps on every contact.
Tags and custom fields let you keep your own information on contacts. Tags group contacts (VIP, Wholesale, Bengaluru). Custom fields hold values (city, plan, order count). Both can be used in segments, and custom fields can fill in the blanks of a campaign message.
Go to Contacts › Fields and tags. The page shows Tags first, then Custom fields.
Note: Everyone who can see contacts can see this page. Creating, editing and deleting tags and fields needs permission to edit contacts (Owners, Admins, Supervisors, Agents and Marketing Managers).
Tags
The tag list shows each tag's name, colour, description, how many contacts carry it, and when it was created.
Create a tag
- Click New tag.
- Enter a Name (up to 64 characters). Names are unique regardless of capitals, so "VIP" and "vip" are the same tag.
- Optionally, enter a Colour as a hex code such as
#2563eb. Leave it blank and one is picked for you. - Optionally, add a Description.
- Click Save.
To change a tag, open its row actions and choose Edit. To delete a tag, choose Delete and confirm. The tag is removed from every contact that carries it, and the contacts themselves are untouched.
Put tags on contacts
- On one contact: open the contact and click Edit tags.
- On many contacts: tick them in the list and use Add tags or Remove tags. See Contacts overview.
- In an import: put tag names in a column, separated by semicolons. See Import contacts.
A contact can carry up to 100 tags.
Custom fields
The field list shows each field's label, key, type, options and whether it is required.
Field types
| Type | Holds |
|---|---|
| Text | Any text. |
| Number | A number. |
| Date | A date. |
| Yes / no | Yes or no. |
| One of a list | One option from a list you define (up to 50 options). |
Create a custom field
- Click New field.
- Enter a Label, the name people see (for example "City").
- Enter a Key: lower-case letters, digits and underscores, starting with a letter (for example
city). The key is used in imports and integrations and cannot be changed later. - Choose a Type. The type cannot be changed later either.
- For One of a list, enter the Options, one per line.
- Turn on Required if every contact should have a value.
- Click Save.
Good to know
- Required is checked the next time a contact is saved, and an import reports a missing value row by row. Existing contacts that lack the value are not changed.
- You cannot remove an option that contacts still use.
- Every value, whether typed by a person, sent through the API or imported, is checked against the field's type.
- Deleting a field removes it and every value stored under it from all contacts. Segments that use the field stop matching.
Fill in custom fields on a contact
- Open the contact.
- In Custom fields, click Edit.
- Enter the values. For a One of a list field, choose Clear to empty it.
- Click Save fields.
